Are you an organized and proactive individual with a passion for supporting high-level executives? We are seeking a dedicated Executive Assistant to join our team and provide top-notch administrative support to our valued clients. In this role, you will collaborate closely with executives to manage their schedules, streamline communication, and handle essential administrative tasks.
What You'll Do:
Schedule and Calendar Management: Coordinate and manage appointments, meetings, conferences, and travel arrangements to ensure efficient use of time and prioritization of tasks.
Information Management: Organize and maintain files, records, and confidential information for easy access. Conduct research, compile data, and prepare reports or presentations as needed. Keep the client's CRM updated and maintained.
Project Coordination: Monitor ongoing projects, ensuring deadlines are met and progress is tracked. Collaborate with team members to gather necessary information for smooth project execution.
Relationship Management: Build positive relationships with key stakeholders, including clients, partners, and team members. Coordinate meetings, prepare agendas, and take minutes when required.
Travel and Logistics Coordination: Arrange travel details, including flights, accommodations, and transportation, to ensure smooth logistics for business trips. Prepare detailed itineraries and provide necessary travel information.
Financial Administration: Assist in managing financial matters, including expense tracking, invoice processing, and budget monitoring. Liaise with the finance department and external vendors as necessary.
Meeting Support: Prepare materials, agendas, and presentations for meetings. Attend meetings, take notes, and follow up on action items to ensure effective communication and documentation.
Task Delegation: Identify tasks suitable for delegation to team members or external service providers. Monitor the completion of these tasks to ensure timely and accurate execution.
Miscellaneous Support: Provide general administrative assistance, such as drafting and proofreading documents and handling various ad hoc tasks as needed.
What You'll Need:
3-5 years of experience as an Executive Assistant
Experience with CRM management
Excellent organizational and time management skills with the ability to prioritize effectively
Strong communication skills, both written and verbal, with the ability to engage professionally with stakeholders at all levels
Proficiency in virtual communication tools, project management software, and other relevant applications
Discretion and confidentiality in handling sensitive information
Strong attention to detail and problem-solving abilities
Proactive and self-motivated, with the ability to work independently and meet deadlines
Flexibility to accommodate different time zones
Undergraduate degree required
